Late cancellation: Appointments cancelled within 24 hours of the scheduled time will result in the deposit being retained.

No-show: Failure to attend a scheduled appointment without prior notice will result in the deposit being retained and a no-show notation in your patient record. Patients with two or more no-shows may be required to prepay the full visit fee for future appointments.

Insurance patients: For patients with commercial insurance coverage, this policy applies to the patient-responsible portion of the visit (copays, deductibles, and non-covered services). Please verify with our billing team if you have questions about your financial responsibility.

Medicare and Medicaid patients: This cancellation policy does not apply to services covered under Medicare or Medicaid. Federal regulations prohibit charging beneficiaries of these programs fees beyond their standard cost-sharing obligations.

Treatment packages: Patients on prepaid treatment plans are subject to the package terms outlined in their treatment agreement. No-shows within a prepaid package are counted as used visits. Rescheduling within the plan period is permitted without additional charge.

"Treatment package terms: The [X]-visit package fee of $[amount] is due at the initiation of care. Package visits must be used within [90/180] days of the purchase date. Unused visits after the expiration date are forfeited. No-shows and late cancellations within 24 hours draw from the package visit count and are not credited or rescheduled. Rescheduling within the plan period with adequate notice does not draw from the package count. Refunds for unused package visits may be requested within 14 days of purchase, subject to a $[admin fee] processing charge. After 14 days, packages are non-refundable."

Language that works in a healthcare context

The tone of a chiropractic cancellation policy should be clinical and professional without being cold. Avoid language that sounds punitive ("violations will result in fees") in favor of language that sounds operational: "missed appointments are subject to our standard cancellation policy." Both communicate the same thing; only one feels appropriate in a care setting.
