A massage therapy cancellation policy communicates two things: that your time is valuable, and that the session you hold for a client is a commitment you expect them to keep. Neither message should be delivered harshly. A clear, professional policy does both without creating friction in a service relationship built on trust and therapeutic benefit.
Below are templates for two structures (upfront deposit and card on file) with additional language for couples sessions and gift certificate holders.
Template 1: Upfront deposit model
Short version (booking page and confirmation):
"A deposit of $[amount] is collected at booking to hold your session. The deposit is applied toward your session fee. Cancellations with 24 hours or more notice receive a full deposit refund. Cancellations within 24 hours or no-shows forfeit the deposit. To cancel or reschedule: [contact method]."
Full version (for intake forms and client agreements):
"Appointment cancellation and deposit policy , [Your name/practice name]
Deposit: A deposit of $[amount] is required at the time of booking to reserve your session. This deposit is applied toward your session fee.
Cancellation with adequate notice: Appointments cancelled at least 24 hours before the scheduled session will receive a full refund of the deposit, or the deposit may be transferred to a rescheduled appointment within 30 days.
Late cancellation: Appointments cancelled within 24 hours of the scheduled time will result in the deposit being retained.
No-show: Failure to arrive for a scheduled session without prior notice will result in the deposit being retained and the session being marked as used.
Illness: Clients who cancel due to acute illness are encouraged to provide as much notice as possible. [Your name] may offer one illness waiver per client per year at their discretion for clients with otherwise consistent attendance. Please do not come to your session if you are experiencing fever, contagious illness, or significant immune compromise.
Therapist cancellation: If [your name] must cancel your appointment, you will receive a full refund of your deposit or the option to apply it to a rescheduled session. [Your name] will provide as much advance notice as possible for any therapist-initiated cancellation.
Couples and dual sessions: Couples massage and dual-therapist sessions block two therapists' schedules. These sessions require a deposit of $[amount] per person at booking and a 48-hour cancellation window. Deposits for couples sessions are non-refundable within 48 hours of the session."
Template 2: Card on file model
Short version:
"A credit card is required on file to hold your appointment. No charge is made at booking. Appointments cancelled with at least 24 hours notice will not be charged. Cancellations within 24 hours or no-shows will be charged [50 percent / the full session fee] to the card on file."
Full version:
"Card on file and cancellation policy , [Your name/practice name]
Card on file requirement: A credit or debit card is required to hold all appointments. This card will not be charged at the time of booking.
Adequate cancellation notice: Appointments cancelled at least 24 hours before the scheduled session will not result in any charge to the card on file.
Late cancellation: Appointments cancelled within 24 hours of the scheduled time will result in a charge of [50% of session fee / full session fee] to the card on file.
No-show: Failure to arrive for a scheduled session without prior notice will result in a charge equal to the full session fee to the card on file.
Dispute: By providing a credit card to hold this appointment, the client authorizes [your name] to charge the card in accordance with this cancellation policy. Clients who dispute a charge that complies with this policy will be required to provide evidence that adequate notice was given."
Gift certificate holders
Add this clause to either policy for clients using gift certificates:
"Gift certificate holders are subject to the same cancellation policy as clients paying by credit card. Cancellations within the cancellation window or no-shows will result in the gift certificate value being marked as used for the missed session. Gift certificates cannot be used to circumvent the cancellation policy."
How to share the policy without making it feel transactional
The tone of how you present the policy matters as much as its content. A cancellation policy framed as protecting your clients' access to their appointment slot ("I hold this time exclusively for you") lands differently than one framed as punishing them for cancelling ("Deposits are forfeited"). Both are accurate descriptions of the same policy; only one is welcoming.
In your intake email or welcome communication: "As part of my booking process, I hold each appointment exclusively for you, which means turning away other clients for that time. To protect your slot, I collect a deposit when you book. I'll send the booking link shortly. It shows the full policy before you pay." This positions the deposit as something you do for the client (protecting their slot), not something you do to them (charging if they cancel).
In reminders: "Looking forward to your session on [date] at [time]. Just a reminder that cancellations within 24 hours are subject to deposit retention per my booking policy. See you soon!" Mentioning the policy in reminders ensures it's never a surprise, and clients who see it in the reminder have one more opportunity to reschedule with adequate notice rather than cancelling inside the window.
