A written photography cancellation policy protects your time, your preparation investment, and your revenue from clients who commit to a session and then don't follow through. Short-form cancellation policy (for booking pages and confirmation messages)
"A non-refundable retainer of $[amount] is required to hold your session date. This retainer is applied toward your session fee. Sessions cancelled more than [48/72] hours before the scheduled time may have the retainer transferred to a future session within 90 days. Cancellations within [48/72] hours or no-shows forfeit the retainer. Weather reschedules are determined by the photographer by [time] on the day of the session, the retainer transfers to the rescheduled date. To reschedule: [contact method]."
Full-form cancellation policy (for client contracts)
Retainer and payment: A non-refundable retainer of $[amount] is due at the time of booking to reserve the session date and time. This retainer compensates [photographer/business name] for holding the date exclusively and for pre-session preparation time. The retainer is applied toward the total session fee. The remaining balance is due [at the session / within 48 hours after the session / per the payment schedule attached].
Client cancellation: The retainer is non-refundable for any reason. If the client cancels the session with more than [48/72] hours notice, the retainer may be transferred to a rescheduled session booked within 90 days of the original date, at the photographer's discretion. Cancellations within [48/72] hours of the scheduled session time, or failure to appear at the session, will result in forfeiture of the retainer with no transfer option.
Rescheduling: The client may reschedule the session once without additional charge, provided at least [48/72] hours notice is given and the new date is booked within 90 days of the original session. A second reschedule request may require a new retainer.
Weather policy: In the case of outdoor sessions, [photographer/business name] reserves the right to reschedule due to weather conditions. The photographer will assess conditions and communicate a decision no later than [2 hours] before the scheduled session time. If the photographer reschedules for weather, the retainer transfers to the new session date at no additional cost to the client. If the client chooses not to attend after the photographer has confirmed the session will proceed, standard cancellation terms apply.
Photographer cancellation: In the unlikely event that [photographer/business name] must cancel a session due to illness, emergency, or other unforeseen circumstances, the client will receive a full refund of the retainer or the option to reschedule at a mutually agreeable date. Late arrivals: Sessions begin and end at scheduled times. Clients who arrive late will receive the remaining session time without extension. [Photographer/business name] is not able to extend sessions beyond the scheduled end time without prior arrangement.
Repeat reschedules: Clients who reschedule more than once within a 6-month period may be required to pay a new retainer for future bookings, forfeiting the original retainer.
Mini session policy (shorter format for batch shooting days)
"Mini session fee of $[amount] is due in full at the time of booking. Sessions are non-refundable. No-shows and same-day cancellations forfeit the session fee in full. Cancellations with more than [48 hours] notice may transfer to a future mini session event at the photographer's discretion, subject to availability. No rescheduling to individual portrait sessions, mini session fees apply to mini session events only."
How to communicate the policy at booking
The most important moment for policy communication is before payment. Clients who see the cancellation terms before they enter their card details have agreed to those terms. Clients who see the terms only after payment may feel blindsided, even if the information was technically available somewhere.
A booking system that displays the policy inline during the payment step, and includes it in the confirmation message automatically, closes most potential disputes before they start. When a client later says "I didn't know about the non-refundable retainer," you can point to the confirmation they received the day they booked showing the policy they agreed to.
For clients who book by phone or email rather than through an online system, send the policy in writing before collecting payment. A simple message: "Before I reserve your date, I want to make sure you've seen my booking policy , [link or text of policy]. Reply to confirm you've received it and I'll send the retainer link." This creates a documented acknowledgment even without a formal contract signature.
What to add for newborn-specific policies
Newborn sessions have timing considerations that standard portrait policies don't cover. Add a section to your standard policy:
"Newborn sessions are scheduled within the first 5 to 14 days of the baby's arrival. The session date will be confirmed within 24 to 48 hours of birth. The retainer collected at tentative booking holds the photographer's schedule around the expected due date and transfers to the confirmed session date. Newborn sessions that fall outside the 5 to 14 day window due to birth date changes from the estimated due date may be rescheduled at no additional retainer charge, subject to availability."
